Camera-Ready Instructions (Workshop/Demo/Doctoral/LBR)

The following information is provided to help you prepare and submit your final paper, as it will be published in the proceedings of ACIIW2025.


Requirements

  • All papers MUST be formatted according to the Camera-Ready Templates of Microsoft Word or LaTeX tailored for ACIIW2025.
  • Submissions must be in PDF format and are limited to a 10MB file size.
  • The main body of the paper, through the conclusion, can be up to 7 pages. The Ethical Impact Statement can take up to one page (additional to the 7-page limit of the main content). The references do not have a page limit. Doctoral Consortium papers are limited to 5 pages (4 pages + 1 page for references). Demo papers are limited to 3 pages (2 pages + 1 additional page for references). Late Breaking Results (LBR) papers can be up to 4 pages (including the required Ethical Statement and references), the fourth page can contain research content in addition to the ethical statement and references.
  • All accepted papers must be presented at the conference by one of the authors. Please refer to the Registration page for detailed information on author registration requirements. Failure to register before the deadline will result in the automatic withdrawal of your paper from the conference proceedings.

Preparation of the Paper

Please follow the guidelines hereafter to prepare your camera-ready paper.

2. Check and Add the Copyright Clearance Code Notice

Please select the copyright information that applies to you and add it to the bottom of the first page of your source document.

  • For papers in which all authors are employed by the US government, the copyright notice is:
    U.S. Government work not protected by U.S. copyright
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is:
    979-8-3315-8017-9/25/$31.00 ©2025 Crown
  • For papers in which all authors are employed by the European Union, the copyright notice is:
    979-8-3315-8017-9/25/$31.00 ©2025 European Union
  • For all other papers, the copyright notice is:
    979-8-3315-8017-9/25/$31.00 ©2025 IEEE

3. IEEE Xplore Compliance Using PDF eXpress

Before submitting to the ACIIW2025 website, all camera-ready submissions MUST be checked for IEEE eXplore compliance by using the PDF eXpress service.

First-time users should do the following:

  1. Select the “Create account” link.
  2. Enter the following:
    • Conference ID: 68946X
    • Your email address
    • A password
  3. Continue to enter information as prompted.

An online confirmation will be displayed, and an email confirmation will be sent verifying your account setup.

Previous users of PDF eXpress need to follow the above steps but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

You can also use PDF eXpress to convert your source file(s) to IEEE Xplore-compatible PDF. ACIIW 2025 will NOT accept camera-ready papers that are not IEEE Xplore-compatible.

Note: The submission of your paper to PDF eXpress for IEEE eXplore compliance check does NOT mean that you have submitted your camera-ready paper to the conference. After you receive the PDF file from PDF eXpress, you need to submit it through the EasyChair system of the conference.

4. Paper and Copyright Submission

Electronic Paper Submission

  • Only PDFs that are verified or generated by IEEE PDF eXpress can be accepted as camera-ready manuscripts and updated.
  • Authors can upload the camera-ready paper on EasyChair by visiting:

  • Authors can also update their paper information on EasyChair by visiting:

eCopyright Form (eCF) Submission

  • Please submit your camera-ready paper first.
  • After submission, corresponding authors will receive emails from IEEE with links to access their individual eCFs.
  • Submit your eCF as soon as you receive the email from IEEE.
